What to Expect
A mixture of presentations, collaboration and working sessions. Most first timers are surprised by the intensity, endurance, interaction and engagement...if you've been to a conference where you get a pen and pad of paper to sit back and take notes... this isn't it. I suggest you arrive well rested and block off the day after you get home for rest
Attire
Comfortable, we will have some long days. Layers are good, bring a light coat or sweater if you get cold easy. Polos are preferred to t-shirts during the day mainly because we’ll be recording sessions. Sneakers and sandals are fine. I am hoping to have a photographer available to take headshots, so bring attire that fits your brand
Schedule
Everything is Eastern Time. I’ll provide a rough agenda closer to the event, but I’ve learned to be flexible based on need. Some sessions go longer than expected and others shorter. If you look at the schedule and think it’s intense…just remember that I used to schedule content that went from 8:00am to 8:30pm and we had working lunches and dinners. Because there is a push for the same amount of content and for more free time to visit… (I’ll let that request sink in…😊), we plan to meet for an optional Devotional/Prayer from 7:52am sharp to 8:03am and the main conference will run from 8:04am to 5:02pm. We’ll break up the day with a 9½ minute BIO break in the morning, lunch and a few activity/fun type events throughout the day. Mornings are geared toward presentation type sessions, but we evolve to roundtable discussions and/or breakout sessions as we progress through the day. Meet in lobby at 6:14pm to carpool to dinner. Each evening there are snacks and beverages provided by Coach Connections. Each year’s atmosphere is different but it’s rare to shut down prior to 10:00pm
Food
Lunch will be provided two of the days, but two will be on your own as we'll be doing breakout sessions off-site
Breakfast is offered as part of your room rate
Dinner is on your own, we usually go as a group
There are a few options onsite and several restaurants in walking distance
For dietary needs, we encourage you to reach out to the hotel directly to discuss your needs
Coffee, water, tea, soda in the meeting room with light snacks
Spouses
Spouses are welcome to join you. I would warn them that we actually work and they should plan on keeping themselves busy during the day. They are encouraged to join us for dinner (eating out) and our social gatherings. If your spouse would like to attend the meetings and lunch, we do need to charge them as an attendee
Couple Coaches
Because of the way we breakdown the conference rates, each coach needs to register for the event
Transportation
Shuttles are not available from the airport but we usually have a spreadsheet of who's arriving when and often you can rideshare. It shouldn't be necessary to rent a vehicle, we often walk or Uber
Parking
There may be other options but onsite parking is $45/night ($30/night limited to first 10 to register)
Attendance
We are opening the conference to 35 attendees and will evaluate adjustments as needed
Double Occupancy
You are welcome to have roommates. There are a limited number of double rooms in our block. If you can't gain access to a double room, reach out and we'll see if we can add one
Refunds
Coach Connections signed a contract that commits' us to covering the room block, food minimums, meeting room, etc. Because of that, unless we cancel the conference due to Covid, etc., there are no refunds. In the past, when someone couldn't make it, they were able to sell or give their ticket to another coach
If the event moves to a virtual event, we will determine if a partial refund can be made based on hotel reimbursement or apply it to next years event
Conference Cost
How do we keep conference fees so low? Members volunteers to research locations, chose the final destination and negotiated great discounts. We do not run the conference as a revenue generator...I build a spending plan and divide the cost among the anticipated number of attendees
Conference Registration - $945 (covers meeting facility, technology, evening reception, two lunches, daily refreshments and snacks, speakers)
Room Rate - $184+tax (15.25%)/night = $212.06 inclusive
